Step by step
Follow the safe route

Mark whether the business is VAT registered and whether the purchase needs VAT review.

Check the supplier name, address, VAT registration number, tax point, description, VAT rate and totals shown on the document.

For supplies of £250 or less, check whether the document meets the simplified VAT invoice requirements.

For higher-value purchases or unclear receipts, obtain the appropriate VAT invoice rather than relying on a basic till slip.

Use Potential, Confirmed or Excluded only as an internal review status. The final claim remains an accounting decision.

Questions people ask
Does a VAT amount detected by OCR mean I can reclaim it?
No. OCR only identifies text. The underlying document must contain the required VAT invoice information, and the purchase and business use must meet the relevant rules.
Is Capshur Making Tax Digital compatible?
Capshur currently organises evidence and can prepare exports. It must not be marketed as HMRC-compatible MTD filing software until the relevant integration and testing are completed.
How long should VAT records be kept?
VAT records are normally kept for at least six years, with exceptions for some schemes and circumstances. Capshur uses a review date and does not delete evidence automatically.
